Colleagues working in the office are easy to reach through computers, intranet or Teams. And how to quickly share information with colleagues working in bakeries who do not work at computers?
In addition to traditional channels such as screens, advertisements or TV boards, Vilniaus Duona has been using the Actimo app on mobile phones for several years. This year, it was supplemented by the Newcomer Introduction Academy section. The newly joined employees of the production and forwarding departments can easily get acquainted with the company in a gamified environment: values, working conditions, benefits and record the most important knowledge.
All information at your fingertips
"Imagine the first day in the bakery. You need to learn and remember so much: what is the dress code, cleanliness or hygiene protocols, work safety rules, when shift work is discussed, etc. This is a bunch of questions and a huge flow of information. We were looking for a way to present it in a simpler, structured, and playful way," said Jūratė Kudabaitė-Staškevičienė, Head of Human Resources for Lithuania and Latvia at Vilniaus Duona.
All the most important information for new colleagues is available at the click of a button on a smartphone. Each new employee receives an SMS inviting them to install the app. And in this one, all the necessary information from day one.
"When we talk to the developers of such solutions, they emphasize the modernity of Vilniaus Duona, because we use advanced tools for communication with employees. For us, innovation has become a natural part, otherwise you will not be able to keep the leader's hat," said Jūratė.
Answers to questions in one programme
"Here, colleagues find everything that is important to know when working in a bakery: company values, workwear requirements, the freshest news, safety rules, as well as employee benefits, such as health insurance or leadership tool training for all colleagues," says Jurga Staniukėnienė, talent selection specialist at Vilniaus Duona, who coordinated the launch of the app and the placement of all the necessary information.
Getting acquainted with the most important information is crowned with an interactive quiz, which gamifies the content and helps to capture the essential points.
For daily internal communication Actimo
The Actimo platform is designed to create clear and interactive internal communication, from news and video messages to training or surveys. Here we also publish photo galleries from our various events.
"This system allows you to segment content by departments, monitor what current affairs or content involve colleagues, and ensure that the information reaches all employees, regardless of workplace or schedule. It is like our virtual internal newspaper, only for employees at hand – on their phones," said Jurga.
According to her, currently about 73 percent of colleagues have installed and use the Actimo app.
In times of crisis, ensure rapid contact
Another important goal of the internal Actimo app is to be able to communicate quickly and promptly with colleagues during crisis situations.
"Colleagues working in bakery production and forwarding departments do not have constant access to computers during work. Therefore, the phone app ensures that we can quickly transmit the necessary messages if necessary," said the HR manager.
According to her, the app perfectly complements the available internal communication channels, such as bulletin boards or SIM boards, TV screens in bakeries or meetings.
Inside intranet for office colleagues
All office or administrative staff also use the Inside intranet. This channel helps you feel the pulse of the entire Lantmannen group, current affairs, experiences, events or ideas shared by colleagues from our group countries.
